Most reconciliation problems do not begin in SAP. They begin with inconsistent references, incomplete statement data and rules that live in the heads of finance staff. Automation starts by making those inputs and decisions explicit.
Treat the statement as an input, not an answer
A CAMT.053 message can carry account, balance, entry, amount, currency and remittance information in a structured hierarchy. That structure is useful, but it does not guarantee that a bank supplies every field an organisation needs. A bank-readiness assessment must establish the message version, account identifiers, reference quality, statement frequency and transport method before matching rules are designed.
Build a validation boundary
The ingestion boundary should reject duplicate files, identify an unexpected account or currency, check opening and closing balance continuity, and preserve the original statement for traceability. A technically valid XML document can still be operationally wrong for the target company code or bank account.
Make matching rules explainable
Matching can combine references, document numbers, amounts, currencies, bank transaction identifiers, counterparties and date tolerances. Each rule needs a priority, an eligibility boundary and an auditable outcome. Exact high-confidence matches may proceed; uncertain candidates should remain visible rather than being force-matched.
| Stage | Control | Result |
|---|---|---|
| Ingest | File identity and account checks | Accepted or quarantined |
| Match | Prioritised deterministic rules | Matched or unresolved |
| Post | Configured accounting treatment | Posted and cleared |
| Review | Owned exception workflow | Resolved with audit trail |
Design the exception queue as a product
The queue is not where automation failed. It is where the system presents the cases that require judgement. A reviewer needs the original bank entry, candidate SAP items, the rule outcomes, ownership, age and a controlled resolution action. That makes the human step faster and makes future rule improvements evidence-led.
Roll out by evidence
Start with representative historical statements in a test environment. Measure rule coverage without treating match rate as the only success criterion: false matches are more damaging than visible exceptions. Add accounts and currencies only after their data and accounting treatment have been assessed.
